How to Properly File a Complaint

It’s happened to all of us, we make a purchase for goods and/or services and for one reason or another it doesn’t work out. This happens more often nowadays with the prevalence of online shopping than in days gone by. We find ourselves dissatisfied and unhappy and wish to seek a resolution, what to do? Follow these easy steps and more often than not, you’ll be pleased with the resolution.

Don’t be Angry, get Prepared

It’s so easy to become annoyed and want to fly off the handle, that won’t solve your dilemma, and all it will do is give you an ulcer.  Take a deep breath and gather your documents; locate any receipts, contracts, warranties, or work orders.  Make copies of any emails or other supporting documentation that you may have had with the seller regarding your purchase.

Now that your paperwork is in order, think about why you are dissatisfied.  Be able to articulate your thoughts into words without any anger.

Think about how you’d like your issue resolved, specifically “what would make you happy.”

Make Contact

You need to figure out whom to contact that will hopefully give you the resolution you are looking for. A number of times it may be as easy as calling or emailing the salesperson or the customer service department and speaking with a representative. Write down the person’s name that you spoke with, what was discussed, the time and date. If that attempt fails, move up the chain to a supervisor or manager, always keep calm, take notes, and be firm but polite.  The old adage, “You’ll catch more flies with honey than vinegar,” comes to mind.  If you’re still not getting the results that you seek and it’s a national chain, contact their headquarters.  At this point, you’ll want to send a letter to them.  Send copies of all you documentation, including your notes along with your letter.

When to Escalate

If you’re still not getting a resolution to your problem it may be time to contact third parties.  File a complaint with your local consumer protection unit, state regulatory agency or licensing board that has jurisdiction over the seller. Get in touch with the Better Business Bureau (BBB) who may try to resolve your complaint against the company. If necessary, contact your state’s attorney general or an appropriate federal agency.

When All Else Fails

Seek legal help. If none of these options work, you may seek to resolve your problem through the legal system or through an alternative dispute program, such as arbitration, conciliation, or mediation.
